Guide
See where the time actually went
Time summary is the report you point at any question: how much time went to a client this quarter, what each person worked on last month, which deliverables are eating the week. Reports, Time summary.
Before you start
- Reports sits in the left navigation, under Invoices. Time summary is the third card.
- Anyone who tracks time can open it. If you cannot see your team’s time elsewhere in the app, this report shows your own entries and nobody else’s.
- Amounts appear only if you can already see rates. Without that, the Amount measure is not offered and no money is calculated.
Ask it a question
Pick what the rows are
Group by is the left-hand column: project, client, person, deliverable or category. Rows come back sorted by name, so the table reads the same way every time you open it.
Pick what the columns are
Across sets the period each column covers: day, week, month or year. Weeks follow your own week start. A range that would produce more columns than anyone can read across says so and offers the next size up rather than drawing it.
Pick what is being counted
Measure switches between hours, billable hours, the number of entries, and the amount. Range covers this month, last month, the last three months, this year, all time, or dates you choose.
Sort by whatever matters
Click the row header to sort by name, any period column to sort by that column, or Total to put the biggest first. The whole question lives in the address bar, so you can send someone the exact view you are looking at.
Check a number you do not believe
Click it
Any figure in the table opens the entries behind it: the same rows, added the same way. The panel shows the figure you clicked and the sum of the list underneath it, so you can compare the two rather than take it on trust.
A row total works the same way
Clicking the Total for a row opens every entry behind it across the whole range, not just one column.
What the numbers include
Every state of time is counted: draft, submitted, approved and invoiced. That makes a total a picture of the work, not a bill. The page says which mix it is looking at.
A running timer is left out, because a timer that is still going has no measured duration yet. The page says how many were excluded.
Hours no rate covers are reported as hours and left out of the amounts. They are never valued at zero, which would be a different and untrue claim.
Money is never added across currencies. A client billed in two currencies appears once per currency, with its own totals line.
On the Amount measure you can price the work at the rate in force on the day it was done, or re-price it all at today’s rate. The page and the exported file always say which one you are looking at.
Export it
Export CSV gives you the table exactly as you have it on screen, in the same row order, with the range, the grouping, the measure and the rate basis written at the top of the file. An empty cell stays empty rather than becoming a zero, so a spreadsheet does not average a week nobody worked as a zero-hour week.
