Save & share views

Set up the deliverables table the way you like it, then save that set-up as a view you can return to and share with the team.

Before you start

  • A project with some deliverables to work with.
  • Open the project, go to its Deliverables, and use the Table view. Saved views and column tools live there.

Set the table up once, then save it as a view.

Shape the table

  1. Choose your columns

Open Columns to show or hide the fields you care about. From the same menu, Pin to left keeps a column in place as you scroll sideways.

The first column is a row counter, marked #. It numbers what you can see: the top row is 1, the next is 2, all the way down. Sort the table differently and a row takes a different number; filter to ten rows and they read 1 to 10. It counts positions on screen, so it is not an ID for the deliverable. Turn it off from the same Columns menu, or from Fields in the Tree view.

  2. Reorder and resize

Drag a column header to move it. Drag the right edge of a header to make a column wider or narrower.

  3. Sort the rows

Click Sort next to Filter to sort by one or more columns. Add up to three levels, pick a direction for each, and drag them to change which one wins. You can also Shift-click a column header to add it as a sort level.

  4. Group, order the groups, and set the density

Use Group by to cluster deliverables by Status, Priority, Assignee, or a custom field. When grouped, Order arranges the groups themselves: natural (the status workflow or option order), reversed, by size, or a manual order you drag yourself. Switch between Compact, Comfortable, and Preview density to fit more or fewer rows on screen. Preview turns each row into a tall row that renders an image field as a real drawing preview, with a row height you can drag to taste. An admin sets the organization default in Settings and each teammate can override it per project.

Edit in bulk

  1. Select deliverables

Tick the checkbox on each row you want, or the one in the header to select the whole page. When filters are on, a banner offers to select everything that matches them.

  2. Apply a change

A bar appears showing how many are selected. Set Status, Priority, or Assignee from it and the change lands on every selected deliverable at once.

  3. Archive with a safety net

Click Archive to archive the selection together. A toast appears with an Undo, so a wrong selection is one click away from being put back.

Save and share the view

  1. Save it

Once the table looks right, click the + next to the view tabs, give the view a name, and click Save. It appears in your Personal section, ready to switch back to any time.

  2. Your view is remembered as you go

Even without saving, WorkWiser remembers your last view and any unsaved tweaks (sort, grouping, columns, density) per project, and restores them on your next visit, on any device. When a saved view has unsaved tweaks, Reset discards them and Save writes them back into the view.

  3. Set a default

Any view’s ⋮ menu offers Set as my default, whether it’s one of your own views or a shared team view, so it opens automatically for you. Managers can also Set as team default on a shared view; everyone lands on it unless they have their own personal default.

  4. When the team default changes

Your own layout is yours to keep: once you have shaped the table your way, WorkWiser leaves it alone, visit after visit, even though a team default exists. Nothing ever changes the view you are looking at while you work.

The one exception is a team default that has actually been updated since you shaped your layout. The next time you open the project, the new team default opens instead, once, with an Undo in case you want your own layout back. After that you are free to shape it again and it sticks. If you have not customised anything, you simply follow the team default as it changes, with nothing to dismiss.

  5. Reset to team default

When your layout differs from the team default, a Reset to team default button appears next to the view tabs. It returns everything the view carries to the team default: columns, widths, sort, filters, grouping, density, and the board, tree and calendar settings. If your layout already matches the team default, the button is not there, because there would be nothing for it to do.

  6. Share, duplicate, rename, or delete

The view tabs are split into Personal and Team sections. From a view’s ⋮ menu, Share with team publishes it to the Team section (Make private reverses it), Duplicate copies it to your Personal views, and Rename or Delete manage it. Creating and editing team views needs the Manage saved views permission; anyone can still duplicate a team view to get their own copy.

Good to know

A view remembers the whole set-up: filters, sort, grouping and group order, density, and your column choices, order, sizes, and pins.

The view tabs sit just below the view switcher, split into Personal (yours) and Team (shared) sections, each with a ⋮ menu.

Your active view and unsaved tweaks follow you across devices. Reset drops the tweaks; Save writes them into the view.

Team views are a shared asset, so creating or editing them needs the Manage saved views permission. You can always duplicate a team view to get your own copy.
