Approve time before it bills
Turn on time approval and every new entry waits for a quick review before it can land on an invoice.
Before you start
- Admin access to turn the policy on (Settings, Workflow).
- The Approve team time permission to review the queue (admins and managers have it by default).
How it works
Time approval is off to start, so nothing changes until you turn it on. With it on, every new time entry is Submitted instead of approved automatically. Only approved time is pulled onto an invoice, so submitted hours wait until someone clears them.
Entries logged before you turned approval on stay approved. Turning the policy off again returns everything to the way it works today.
Turn on approval
Open Workflow settings
Go to Settings, then Workflow, and open the Time approval tab.
Switch it on
Turn on Require approval for time entries. From now on, new entries are submitted for review.
Review the queue
Open Approvals
In Time, open the Approvals tab. It lists submitted entries grouped by person and week, with totals.
Approve or send back
Select entries, or a whole person’s week, then click Approve, or Send back with an optional note. Approved entries are ready to invoice; sent-back entries return to draft so the owner can fix and resubmit.
Editing re-opens approval
Editing a submitted entry keeps it in the queue. Editing an approved entry sends it back for approval, unless you hold the Approve team time permission. A running timer is never in the queue; it enters only after you stop it.
On the invoice
When you build an invoice, WorkWiser shows how many unapproved hours sit in that period so nothing bills by surprise. Approve them, then Refresh the draft to pull them in.
