Tax & VAT on invoices
Set the tax on a draft, override it per line, and handle exemptions, all before you issue.
Before you start
- You need the Admin or Manager role, and an invoice still in draft. Tax is set before you issue.
- Your organization’s default tax rate and label live in Settings, so new drafts start from them.
Two ways to apply tax
A new draft starts from your organization’s default tax rate, applied as a percentage across the lines. That is the rate-based way, and it is what most teams want.
Some older or one-off invoices instead carry a single tax amount, a lump sum, rather than a rate. You can set that amount directly when an invoice uses the lump-sum approach, and you can switch a lump-sum invoice over to a rate with Set rate.
Tax sits with the totals on the invoice draft.

Set the tax rate
In the totals area, click the tax rate and enter a percentage. The breakdown and total update to match. Clearing the rate switches the invoice back to a single lump-sum tax amount you set by hand.
Override tax on a single line
When the invoice has a tax rate, each line shows a tax column. Type a different percentage on a line to override it, or leave it blank to inherit the invoice rate. This is how you mix rates, for example a 20% line and a 0% line on the same invoice.
Add an exemption reason for 0% lines
If any line is taxed at 0%, a Tax exemption reason field appears. Enter the reason, for example the KDV exemption clause, and it prints on the PDF next to the tax. Add it before you issue.
Good to know
The tax label on the PDF (for example VAT or KDV) comes from your organization’s setting and is fixed onto the invoice when you issue it.
The PDF language follows the invoice first, then the client, then your organization default, and the tax labels follow that same language.
Tax is editable only while the invoice is a draft. Once issued, the snapshot is locked. To change tax, an Admin voids it and you issue a corrected one.
