Signatures, templates & domains

Set up the parts that make sending feel polished: a shared signature, saved replies, your own sending domain, and an undo-send safety net.

Before you start

  • Signatures, custom domains, and forwarding addresses are set by an Admin.
  • Undo send and your tracking default are yours to set, on any role.
  • Most of this lives under Settings, in Integrations, on the Email tab.

Set an organization signature

  1. Create a template

    On the Email tab, find the signature section and click Create Template. Give it a name and write the signature.

  2. Drop in fields and a logo

    Insert the fields that fill themselves in for each sender: {first_name}, {last_name}, {email}, {title}, {mobile}, and {company_name}. Each sender sets their own title and mobile in Settings, Profile. Add your logo by dragging an image in or picking a file.

  3. Make it the default

    Turn on Set as default so new accounts use it. To let people tailor their own, turn on “Allow members to override signatures”. With it off, the organization signature is locked and members see it as managed by the org.

Save your common replies

Templates are reusable replies you reach for again and again, so nobody retypes the same answer.

Build a library

Create and organize templates under Settings, in Message Templates. Keep one for yourself or share an organization-wide one with the team.

Drop one into a reply

In the composer, pick a template and it fills the message, ready for you to tweak and send.

Add your own sending domain

  1. Start the domain wizard

    On the Email tab, under Custom Domains, click Add Domain and enter the domain you want to send from.

  2. Add the DNS records

    WorkWiser shows the DNS records to add at your domain host. Use the copy button on each one, paste them into your DNS, then come back and click Verify DNS. You can re-check until they all pass.

  3. Turn on tracking and set the primary

    Switch on Open tracking and Click tracking for the domain if you want to know when mail is opened and links are clicked. Once a domain is verified you can Set as Primary, and you can revisit its Tracking Settings or Remove Domain later from its menu.

Forwarding addresses

Create an address that ends in @inbox.wiser.works and forward mail to it to pull those messages into the inbox. Link an address to a project to route its conversations there automatically.

Undo send

Turn on Undo send and choose your window: 5, 10, 20, or 30 seconds. After you send, that is how long you have to pull a message back.

Tracking by default

Turn on “Track opens and clicks on new emails by default” so new emails include tracking automatically. You can still flip tracking on or off per email in the composer.

Account color

Pick a color for each connected account from the swatches on its card. The color tags that account’s conversations throughout the inbox.

Good to know

Signatures, custom domains, and forwarding addresses are admin tasks. Undo send, your tracking default, and the color on an account you own are yours to change.

A custom sending domain only goes live once its DNS records verify. Until then, mail keeps sending the usual way.
