Void an invoice

Cancel an issued invoice the right way, with a reason on the record, then issue a corrected one.

Before you start

  • You need the Admin role to void an invoice.
  • The invoice must be issued. Drafts are deleted instead, and a paid invoice should be handled with care.
  • A short reason for the void. It is required.

When to void

An issued invoice is locked: a permanent snapshot you cannot edit. So when something is wrong, a wrong amount, the wrong client, a line that should not be there, you do not change it. You void it and issue a corrected one. Voiding cancels the invoice while keeping a clear record that it existed and why it was cancelled.

Void and re-issue

  1. Open the invoice and click Void

    Open the issued invoice and click Void in the action bar.

  2. Give a reason

    Type why you are voiding it. The reason is required and is kept on the invoice and in the audit log. Then slide to confirm.

  3. Issue a corrected invoice

    Voiding releases that invoice’s time back to unbilled, so you can build a fresh draft for the same work, fix what was wrong, and issue it. The new invoice gets the next number in the sequence.

Good to know

A voided invoice keeps its number. The sequence stays gap-free, so nothing looks deleted or skipped to an auditor.

Voiding is permanent and cannot be undone. The voided invoice stays visible, marked as voided, with its reason.
