Manage clients & contacts

Add the companies you work with, keep their contacts up to date, and set the defaults that flow into projects and invoices.

Before you start

  • Adding, editing, and managing contacts needs the Admin or Manager role. Archiving a client is admin-only.
  • It all lives under Clients, in the left-hand navigation.

Add a client

  1. Open the new-client form

    Go to Clients and click New Client. A form slides in from the side.

  2. Fill in the details

    Name is the only required field. Add the Billing Email, Billing Address, Country, and Tax ID as you have them. If client types are turned on, pick a Type: Client / Billing, Brand / End Customer, or Vendor / Partner.

  3. Create it

    Click Create Client. The new client appears in your directory right away. Open it to add contacts and set its defaults.

Add contacts

  1. Open the Contacts tab

    On the client, switch to the Contacts tab and click Add a Contact.

  2. Enter the person

    First Name and Last Name are required. Add an Email, Phone, and a Role such as "Billing Contact" or "Project Lead". If someone with that email already exists in your workspace, WorkWiser links to them instead of creating a duplicate.

  3. Save, and add more if you like

    Click Add Contact. Repeat for each person you deal with at the client. A client can hold as many contacts as you need.

Set the default rate and invoice language

  1. Open Edit Client

    On the client, click Edit to open the form.

  2. Set the Default Hourly Rate

    Enter a rate in the Default Hourly Rate field. This pre-fills the rate when you create a new project for this client, so you do not have to set it each time.

  3. Choose the Invoice language

    Pick English or Türkçe under Invoice language, or leave it on Use org default. This sets the language for this client’s invoice PDFs, and an individual invoice can still override it.

  4. Save your changes

    Click Save Changes.

Archive, restore, and export

To tuck a client away without deleting it, open it and click Archive (admins only), then slide to confirm. The client drops out of your everyday list but keeps all its history. A client with active projects cannot be archived; archive or complete those projects first.

To bring an archived client back, open the clients list, choose Archived in the filter at the top of the table, open the client, and click Restore. To get a copy of your whole directory, click Export CSV on the clients list and a file downloads to your device.

Good to know

Editing a contact updates that person everywhere they are linked. If the same person is a contact at two clients, a change to their email or phone applies to both.

Removing a contact only unlinks the person from this client. Their record is kept, so any other client they are linked to is unaffected.

Archiving hides a client without deleting it, and the Archived filter only appears once you have at least one archived client. Restore lives on the client’s own page, not in the list.

A new client with no email address is fine. Email only matters for the contacts you add, and only the contact’s First and Last name are required.
