Invite a teammate & set roles

Add the people you work with, give each one the right level of access, and manage your team as it changes.

Before you start

  • You need the Admin role to manage members.
  • Find it under Settings, in Members & Roles.

Send an invite

  1. Open Members & Roles

    Go to Settings, then Members & Roles, and click Invite members.

  2. Fill in the details

    Enter the person’s first name, last name, and email, and choose their role. To invite several people at once, click Add another and fill in another row.

  3. Send

    Click Send all invites. Each person gets an email with a link, and once they sign up they join your workspace with the role you chose. If a row fails, fix it and use Retry failed to send just that one again.

What each role can do

Admin

Full control: invite people, set roles, change organization settings, features, billing, and the audit log, plus all the everyday work.

Manager

Runs the work: create and edit projects, deliverables, and time, log team hours, and build invoice drafts. Cannot issue or void invoices, and has no access to members, organization settings, or billing.

User

Focused on the work: logs their own time and works on their deliverables, without team or settings access.

Find and manage people

  1. Search and filter

    Use the search box to find someone by name or email. Filter the list by Roles (Admin, Manager, User) or by Status (Active, Invited, Deactivated) to focus on the people you mean.

  2. Change a role

    Open the menu on a person’s row, or right-click the row, and choose a different role. The change takes effect right away.

  3. Resend a pending invite

    For someone who has not joined yet, open their row menu and choose Resend invite.

Deactivate or bring someone back

  1. Deactivate someone

    Open their row menu, choose Deactivate, and confirm. They lose access at once and drop out of the list.

  2. See deactivated members

    Turn on Show deactivated to bring deactivated people back into view.

  3. Reactivate

    With Show deactivated on, open the person’s menu and choose Reactivate to restore their access.

Good to know

WorkWiser always keeps at least one admin: you cannot deactivate the last one. Promote someone else first.

You cannot change your own role or deactivate yourself from this page. Ask another admin.

Each active member uses a seat on your plan. A pending invite does not use a seat until it is accepted.
